Maintenance Planning & Service Coordinator

About the Role

The Maintenance Planning & Service Coordinator runs the day-to-day flow of our service department in Vernon, AL. You are the first point of contact when something needs fixing in the field — registers, pumps, signage, canopies, and property.

You will own the processes, inventory controls, and policies that keep service work moving cleanly: standardizing how jobs are scheduled and closed out, keeping shop and truck inventory accurate, and holding the office and field technicians accountable to procedure. The result is a tighter, more efficient operation with clean execution.

Strong organization is the most important trait for success here, along with a willingness to learn the basics of fuel pump and dispenser repair for phone troubleshooting.

Key Responsibilities

Service Intake & Customer Support

• Answer service calls and text messages during the day and after hours for any repairs needed — registers, pumps, signage, canopy, and property.

• Resolve as many issues as possible over the phone. When a fix isn’t possible, collect as much information as you can, including photos, to attach to the work order for the technician.

• Respond to company emails promptly and address issues as they arise.

• Route problems to the right department — preventive maintenance, pressure washing, or property repair — based on what the customer needs fixed.

Job Entry & Dispatch

• Enter jobs into Service Fusion under the correct location with thorough detail for the technicians.

Documentation, Billing & Inventory Accuracy

• Ensure technicians obtain signatures for completed work, and that all parts used are noted and removed from truck inventory.

• For bill-store jobs, confirm all labor time and mileage are added so the job is invoiced properly.

• Verify that everyone working is clocked into a job so that hours worked and job times match.

Compliance & Certifications

• Keep all technician certifications current and schedule in-person and online classes as needed to stay compliant.

• Track and renew technicians’ environmental, Weights & Measures, and MDEQ licenses online as needed.

Planning, Process & Accountability

• Develop and maintain standardized processes for how service work is intaken, scheduled, documented, and closed out.

• Build and enforce inventory controls across the shop and technician trucks to keep stock accurate and reduce loss.

• Apply consistent policies that hold both the office and field technicians accountable for following procedure.

• Look for opportunities to improve execution and efficiency so the service team can do more with fewer breakdowns in the process.

What We’re Looking For

• Excellent organizational skills and strong attention to detail — this is the core of the role.

• A process-minded self-starter who can build structure and standardize how things are done, not just work within an existing system.

• Comfortable holding people accountable — both peers and field technicians — to agreed processes and policies.

• Clear, professional communication by phone, text, and email.

• Willingness and aptitude to learn the basics of fuel pump and dispenser repair for phone troubleshooting (no prior repair experience required, but a mechanical mindset helps).

• Comfortable scheduling, dispatching, and juggling competing priorities throughout the day.

• Computer proficiency; experience with Service Fusion or similar field-service software is a plus.

• Experience with inventory control, dispatch/coordination, or operations planning is a strong plus.

• Dependable and willing to take after-hours service calls as part of coverage.

• Able to work on-site in Vernon, AL.

Schedule

Full-time, in person at our Vernon, AL location. The role includes both daytime and after-hours service-call coverage.
